Bringing budget back into your balance sheet

Salaries, energy costs and so on are fine – you know how much you will spend in the next 12 months. Several boxes ticked.

Those costs which are ad hoc, unpredictable, not invoiced as standard or hidden – whether they creep up on you and mount up by year-end or are forced on you without warning. When your roof starts leaking, when you need to fund a supply teacher for two months and others – these are the challenges. And the fewer of them, the better!

Print costs are a less extreme example of this – perhaps your printers are different brands requiring different consumables, maybe consumable purchasing is ad hoc and not centrally managed, maybe some are out of warranty and others are laser printers with high energy costs. The end result is an unpredictable or even hidden line of the annual spend – printing.

Compared to your school van breaking down though, print costs are exceptionally easy to bring 100% under your control. With some basic administration to start, a school can turn it into a box as easy to tick as lighting costs.

It gets better though…

It’s one thing being able to accurately account for a high spend for a school. It’s another thing being able to do so AND reduce it at the same time.

And even better is if while doing this, you are increasing other efficiencies – both energy costs and time saved by your team. You’d no longer need to price compare consumables, manage expired warranties and see a few random transactions per month on your balance sheet. You’re also benefiting from economies of scale – with an agreed regular spend, you’re effectively buying consumables in advance. Then at a click of a button, you’re ordering them on next day delivery.

And what does this annual cost saving mean?

It means you’re bringing budget back into your balance sheet. That budget that can be used to fund those truly unpredictable costs – like when the roof starts leaking!
